VTEX is seeking an Office Operations Contractor to manage office operations and workplace services in New York. This part-time role involves inventory management, administrative support, and liaising with vendors.
You are an organized individual with experience in office operations and inventory management. You thrive in environments where you can maintain autonomy while delivering high-quality services. Your ability to coordinate with various stakeholders, including building management and external vendors, ensures that office conditions are optimal and operational needs are proactively addressed. In this role, you will manage and organize office and kitchen inventory, ensuring that supplies, groceries, snacks, and coffee station needs are met. You will coordinate weekly grocery orders and handle ad-hoc requests as they arise. Your responsibilities will also include liaising with building management and external vendors to ensure service quality and resolve any issues that may arise. You will monitor office conditions and proactively address operational needs, ensuring a comfortable and efficient work environment.
You will support meeting room equipment and the functioning of dashboards, ensuring that all necessary resources are available for team meetings. Additionally, you will receive, sort, securely store, and manage physical mail at the NYC office. This includes scanning and sharing correspondence notifications or invoices with HQ teams through the internal communication system and coordinating the physical forwarding of required documents from the Miami office.
Your role will also involve organizing and distributing office-related assets, such as welcome kits and benefits cards. You will collect, organize, and submit office-related invoices for payment, ensuring that all financial transactions are handled accurately and efficiently. Your ability to manage these tasks will contribute to the overall success of the office operations.
