Squarepoint Capital is hiring an Office Administrator to ensure smooth office operations. You'll coordinate with HR and IT, manage supplies, and support onboarding processes. This role requires experience with Workday and strong organizational skills.
You have experience in office administration, ideally within the finance industry, and are skilled at managing multiple tasks simultaneously. You are proficient in using Workday for expense management and have a high level of confidence in using software and internal platforms. Your ability to quickly learn new systems makes you an asset in any office environment. You are detail-oriented and understand the importance of maintaining a well-organized workspace. You have experience with floorplan management software and are comfortable working with external vendors for office supplies and services. You are flexible and willing to work occasional weekends or events as needed.
In this role, you will work closely with HR, IT Service Desk, and senior management teams to keep the office running smoothly. You will be responsible for arranging daily food deliveries and ensuring that service level agreements are met. Greeting visitors and coordinating in-person or video conference meetings will be part of your daily tasks. You will produce high-quality emails and messages to individuals at all levels of the organization. Additionally, you will liaise with multiple external suppliers and building management to maintain the office's physical environment, ensuring that it is clean and well-stocked. You will also manage office stationery, business cards, and company-branded equipment. Processing inbound and outbound mail, distributing it to employees, and arranging couriers or international carriers will be part of your responsibilities. You will use Workday daily to submit office expenses and work with the Technical Service Desk team to coordinate desk moves and troubleshoot hardware issues for users. Office space planning for new joiners and overseas visitors will also be part of your role, along with supporting HR with onboarding and offboarding processes. You will ensure that health and safety standards are up to date and proactively arrange fire safety and first aid training for employees as needed. Planning office events at various venues across London will be another exciting aspect of your job.
