Role Overview

We’re now hiring a diligent and bright-spirited Executive Assistant to support both our CEO and wider company staff on their mission to build successful design businesses. This position asks a little bit more of you than comparable positions at other companies: It blends EA duties, light bookkeeping tasks and operational project support.

You’ll gain fascinating insights into how we build companies, design products and hire world-class talent. Your utmost attention to detail, effective communication abilities, positive energy and proactive planning will be a critical ingredient to make sure that our CEO and team can perform at their best.

Key Responsibilities

  • Support the CEO in professional and personal matters such as communicating and acting as his official representative with in-house staff and outside partners, dealing with management companies of various real-estate properties, managing car insurance and inspection, researching and booking restaurants etc

  • Plan trips for people inside and outside the company to keep our international projects running smoothly

  • Make sure office operations run smoothly by liaising with shipping companies, office suppliers, and other vendors

  • Support our design and production staff in ordering materials such as fabrics, paint, production hardware, and more

  • Bookkeeping tasks such as collecting and filing receipts, managing Moneyforward etc

  • Attend accounting company meetings together with the CEO, support their communication, continually liaise with them between meetings, and assist with year-end closing

  • Organize company-wide events to create bonding opportunities between staff outside of work

  • Arrange appointments at personal gyms for our company staff as part of our unconventional employee welfare package

  • Good business English and native Japanese is a must

  • Demonstrate exemplary hospitality skills to make visitors feel exceptionally welcome

  • Contribute a warm, bright, sparkling and diligent energy to the team

  • Mastery of Japanese etiquette and business customs

  • Utmost attention to detail and proactive planning abilities to catch errors before they happen

  • Strong track record of handling confidential financial information responsibly

  • Accurately understand our company’s philosophy, business goals, and the CEO’s way of thinking to suggest actions or strategies in situations both small and large

  • Be a trusted sounding board or even provide active advice to the CEO on matters where qualified either by experience or instinct
