Overview

Quantbox Research is seeking a Senior Executive Assistant to provide high-level administrative support to the executive team. This role requires exceptional organizational and communication skills, along with 5+ years of experience supporting C-level executives.

Job Description

Who you are

You are a highly organized and proactive professional with over 5 years of experience supporting C-level executives or senior leadership. Your outstanding written and verbal communication skills enable you to maintain professionalism and confidentiality while acting as a liaison between the executive and internal/external stakeholders. You thrive under pressure and possess strong organizational and time-management abilities, allowing you to multitask effectively in a fast-paced environment. Your high level of discretion, integrity, and professionalism ensures that you handle confidential information with the utmost care. You are a self-starter with a proactive mindset and strong problem-solving skills, always anticipating the needs of the executive team.

Desirable

Experience in the finance sector is preferred, as it will help you understand the specific needs and challenges faced by the executive team in this industry. Familiarity with project management tools and techniques will also be beneficial in managing projects and initiatives on behalf of the executives.

What you'll do

In this role, you will manage complex calendars, scheduling internal and external meetings, travel, and appointments for the executive team. You will coordinate domestic and international travel arrangements, including itineraries, transportation, and accommodations, ensuring that all details are meticulously organized. Acting as a liaison, you will maintain communication between the executive and various stakeholders, ensuring that all interactions are handled with professionalism and confidentiality. You will also be responsible for organizing and prioritizing incoming information and requests, ensuring appropriate follow-up on all matters. Additionally, you will assist in managing projects and initiatives, maintaining accurate records and files, and handling confidential documents with discretion. Supporting the planning and execution of events and meetings will also be a key part of your responsibilities, as you anticipate needs and proactively bring together appropriate resources to support the executive’s activities.
