Junior Office Manager (Fixed-term contract)

We are a growing team looking for a part-time Junior Office Manager in the People department to help us on our journey to revolutionize road freight logistics. The role is located in our Barcelona office.

We are looking for a proactive and organized Junior Office Manager to support the daily workflow and operations of our Barcelona office. You will take care of our office and people, organize and manage events, and ensure the employee wellbeing and fostering a positive climate in our Barcelona office. 

The successful sennder Barcelona Junior Office Manager is an energetic professional. You should be experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. You are well organized, flexible, and enjoy the administrative challenges of supporting an office with a diverse team.

WHAT YOU WILL DO …

  • Support the organisational and the daily workflow in our Barcelona office.
  • Act as the primary reference for employees, addressing daily office-related questions and concerns.
  • Ensure office efficiency by planning and executing equipment procurement, layouts, and office systems.
  • Develop and implement office policies, procedures, and standards to streamline operations.
  • Organize and manage team events, parties, including small events or monthly parties and an annual sennder Summer Camp in collaboration with sennder HQ. 
  • Maintain a sufficient daily supply of food and drinks for the office.  
  • Coordinate office maintenance, cleaning crews and external services providers, manage communication with vendors as well as internal teams.
  • Support the People Team with any internal communication and engagement activities.
  • Ensure compliance with our internal processes, office policies and relevant regulations. 
  • Assist with managing contracts, price negotiations with office vendors, service providers, and office lease.
  • Maintain and improve supplier relationships, identifying new collaboration opportunities to exceed quality standards. 
  • Ensure compliance with Health & Safety policy.
  • Manage office expenses and budgets, ensuring accurate tracking and efficient cost control.
  • Coordinate with the IT department on all office equipment needs.
  • Provide general support to office visitors.

WHAT WE ARE LOOKING FOR …

  • 1- 2 years experience as an Office manager or Event Manager in fast placed demanding environments.
  • Able to manage time and priorities in a highly demanding environment, and to positively, proactively and successfully engage with stakeholders at different levels of the organizational hierarchy.
  • Fully proficient both in Spanish and English.
  • Open-minded, reliable, self-confident and resilient.
  • A role model for your work ethic, your commitment to excel and your ability to collaborate with a diverse group of internal stakeholders.
  • Preferably advanced excel knowledge.
