InterSystems is hiring an Administrative Assistant for a 6-month fixed-term contract to provide PA and administrative support for Senior Management. This role requires previous administrative experience and offers a chance to work in a dynamic software company.
You have previous experience as an Administrative Assistant or Personal Assistant, demonstrating your ability to support senior management effectively. You are organized and detail-oriented, capable of managing multiple tasks such as arranging meetings, booking travel, and processing expenses. Your communication skills allow you to act as a liaison between departments and ensure smooth operations within the team. You are comfortable with document management and have experience using tools like SharePoint to maintain project intranet pages. You are adaptable and willing to provide cover for other administrative staff as needed, showcasing your team spirit and flexibility.
In this role, you will provide comprehensive PA support to Senior Management, which includes arranging internal and external meetings, booking travel, and managing expenses. You will also assist with general administrative tasks for various teams, ensuring that all logistical needs are met efficiently. Your responsibilities will include preparing agendas for meetings, collating reports, and taking accurate minutes to document discussions and decisions. You will coordinate ad-hoc meetings, sometimes off-site, and manage catering arrangements as required. Additionally, you will raise purchase orders and track team travel while ensuring invoices are approved in a timely manner. During project implementation periods, you will support document management and maintain the project intranet page. You will also provide reception cover during breaks and holidays, working collaboratively with the Administrative Services Group to ensure seamless operations.
