IDEO is seeking an Office & Operations Coordinator (Contractor) to support daily operations and project logistics. This role requires strong organizational skills and a service-oriented mindset, with a focus on collaboration and flexibility.
You are a flexible and reliable individual who thrives on supporting others and ensuring smooth operations. You possess a service mindset, genuinely enjoying the process of helping others and making things run more efficiently. Attention to detail is one of your strengths, and you are known for being dependable and steady in your work. You are adaptable and can handle changes without becoming flustered, willing to adjust your approach to solve problems as they arise. Your ability to learn quickly and your openness to new experiences make you a valuable addition to any team. You understand the importance of boundaries and responsibility, knowing when to take initiative and when to maintain stability.
While not mandatory, experience in office operations, administrative support, project assistance, or customer support is a plus. Recent graduates or candidates with limited work experience but high maturity and a stable mindset are also encouraged to apply. Proficiency in both Chinese and English for workplace communication is beneficial.
In this role, you will be responsible for supporting the daily operations of the office and assisting with special events. You will help ensure the smooth running of the office by coordinating with vendors and relevant support parties. Additionally, you will provide administrative and logistical support to project teams, which includes organizing meetings, workshops, travel arrangements, and preparing materials. You will also handle paperwork and documentation related to various tasks. Your role will involve engaging with clients and following up on business inquiries, supporting the business development team in initial communications and coordination. Depending on your willingness and capabilities, there may be opportunities to assist executives with scheduling, information organization, or ad-hoc support tasks, although this is not a core responsibility.
At IDEO, we believe that supportive roles are not secondary; they are essential to the success of a great team. We value those who simplify complexity and support others. If you find fulfillment in being needed and trusted, and enjoy making things happen behind the scenes, this role could be a perfect fit for you. We offer a collaborative environment where you can grow in a real and dynamic setting. The initial contract is for three months, with the potential for a long-term position based on mutual evaluation of the role's value to the business and alignment of expectations. We encourage you to apply even if your experience doesn't match every requirement, as we value a growth mindset and a willingness to learn.
