Job Description

Auxiliar Administrativo

Estamos buscando alguém excepcionalmente proativo, motivado e voltado para a equipe para dar suporte à nossa Comunidade do VCS (Virtual Customer Service) no Brasil. O funcionário trabalhará no escritório da Vila Olimpia/SP, porém terá que ir ao armazém de VCS localizado no Centro de Processamento da Amazon em Cajamar quando necessário.

O candidato ideal será uma pessoa com iniciativa, orientada a detalhes e experiência em planejamento, com a capacidade de concluir um grande volume de tarefas com o mínimo de orientação ou supervisão. A chave para o cargo é a capacidade de organização, priorização e entrega no prazo. O administrador deve ser orientado a detalhes e processos, para garantir a realização de análises detalhadas e melhoria dos os processos com base nestas análises.
Por fim, o Admin apoiará a execução de atividades de diversão, gerenciando o orçamento do VCS, criando propostas de atividades de engajamento, elaborando a arte e as comunicações.

Esta posição terá várias funções principais, incluindo:
1. Gerenciar e coordenar eventos de funcionários, seja de modo virtual ou fora das instalações, apresentações do All Hands, festa da Amazon e outras tarefas repetitivas.
2. Criar, gerenciar e executar atividades de engajamento, incluindo propostas de atividades, elaboração da arte e comunicação.
3. Criar e executar atividades de engajamento LATAM com os assistentes administrativos de diferentes países.
4. Gerenciar a logística (cotação, pedido, compra, recebimento, armazenamento, rastreamento e entrega) para todas as mercadorias e materiais a serem enviados para os líderes e associados do VCS (considere uma população de mais de 300 pessoas).
5. Responsável pelo cadastro e negociação com fornecedores, compra de qualquer tipo de itens e prêmios conforme solicitado pela liderança.
6. Apoiar a equipe de logística no envio dos materiais de engajamento, presentes, prêmios, etc.
7. Promover atividades de comunicação e engajamento para a Comunidade Virtual CS usando ferramentas internas e outros métodos de comunicação.
8. Estar envolvido em outras atividades administrativas essenciais (coordenação de eventos internos e orçamentos, organogramas, pedidos de suprimentos).
9. Resolver os problemas das instalações conforme necessário. Comunicar e documentar as necessidades das instalações.
10. Manter relatórios e indicadores diários / semanais / mensais.
11. Redação, edição e preparação de documentos. Criação e condução do boletim informativo mensal do VCS e as comemorações de aniversários.
12. Gerenciamento de requisitos complexos do calendário e programação.
13. Responsável pela criação e / ou atualização de documentação e SOPs (Standard Operations Process).
14. Gerenciar todos os preparativos de viagem e despesas (nacionais e internacionais), incluindo a configuração da reunião, hospedagem, transporte, refeições etc.

Administrative Assistant


We are seeking an exceptionally proactive, motivated and team-oriented individual to support to our VCS (Virtual Customer Service) Community in Brazil. This position will work from our office at Vila Olimpia/SP and will be required to go to the VCS storage room located in Cajamar Amazon Fulfilment Center when needed.

The ideal candidate will be a self-starter, detail oriented, and experienced planner, with the ability to complete a high volume of tasks with minimal guidance or supervision. Key to the position is the ability to be organized, prioritize, and deliver on time. The admin will be process driven and detail oriented to ensure they conduct postmortems and remove waste in all processes. Lastly, the Admin will support the execution of fun activities by managing VCS budget, creating proposals for engagement activities, creating the art and the communications.

This position will have several key functions including:
1. Manage and coordinate employee events, all hands meetings, off-sites, Amazon party and other repetitive tasks.
2. Create, manage and execute engagement activities, including activities proposals, art creation and communication.
3. Create and execute LATAM Engagement activities with Admin Assistants of different countries.
4. Manage logistic (Quote, order, purchase, receive, store, track and delivery) for all goodies and material to be sent and received to VCS leaders and associates (Consider a population of 300+ people).
5. In charge of onboarding and negotiation with new vendors needed, purchasing of any type of goodies and prizes as requested by leadership.
6. Support the Logistics team and ship all the engagement materials, gifts, prizes, etc.
7. Drive communication and engagement activities for CS Virtual Community using internal tools and other communication methods.
8. Be involved in other core administrative activities (Coordinating Internal Events and budgets, organizational charts, supply ordering).
9. Resolve facility issues as needed. Communicate and document facility needs.
10. Maintain various daily/weekly/monthly reports.
11. Document writing, editing, and readiness. Create, own and drive VCS monthly newsletter and birthday´s celebrations.
12. Management of complex calendar and scheduling requirements.
13. Responsible of creating and/or updating documentation and SOPs (Standard Operations Process).
14. Manage all travel arrangements and expenses (domestic and international), including meeting set-up, lodging, transportation, meals, etc.
- Experiência profissional ou militar;
- Experiência trabalhando com computadores e produtos e aplicativos do Microsoft Office;
- Ensino médio ou equivalente;
- Trabalhar horas extras conforme necessário;
- Trabalhar em um horário/turno/área de trabalho flexível, incluindo fins de semana, noites e/ou feriados;
- Ter 18 anos ou mais.- Experience with end-to-end project management.
